Conversations
Everyone who wrote to a pipe, grouped by person, with a status the whole team shares.
What it shows
Each person who wrote to the pipe gets a card, newest activity first, listing their emails and your team’s replies. Click an email to open that exact message in Gmail, and reply from there as usual: it still goes through the pipe and Hold duplicate replies.
Choose Compact (the latest email per person), Latest 3 or Expanded (everything), filter by status, or search names, addresses and subjects.
Open, Pending, Closed
- Open: the contact wrote last. Every new message from them opens the conversation again, even a closed one.
- Pending: someone on the team replied; it’s the contact’s turn.
- Closed: set by hand with Close when it’s done. Closed conversations get no reminders.
Assign and claim
Click I’ll reply to take a conversation yourself, or pick a teammate and click Assign; they get an email saying so. Everyone then sees “Joe is replying” on the card, and teammates’ replies to that person are held, so the contact gets one answer. Sending a held reply again within 10 minutes sends it anyway.
A claim lasts 2 hours unless you choose 1, 4 or 24. It ends early when the person it’s assigned to replies, when anyone clicks Release or Close, and otherwise simply runs out.
Every member can assign by default. The account owner can limit that to themselves or to chosen members in the pipe’s settings, under Reply handling. Claiming a conversation for yourself is always allowed.
Remind team
Pick a time (4 hours, tomorrow, 3 days or a week) and every member gets an email about that conversation then. Reminders are checked hourly, so one can arrive up to an hour late.
Who can see it
The account owner opens it from the pipe’s page. Members can sign in with the address you invited and find it under Shared with you, and they also get their own link in every reminder, assignment and Monday digest email, valid for 14 days. Status is shared: when anyone closes a conversation, everyone sees it closed.
Anyone who has a member’s link can use the page as that member, so don’t forward it. Removing a member ends all their links. Members can see each other’s addresses here.
How far back it goes
A conversation stays for 90 days after its last message. Only mail from 29 September 2026 onward is listed, because subject lines weren’t kept before then. Waribox stores subjects and sender names for this page; message bodies and attachments only when the pipe uses Inbox mode.
Outlook and other mail apps
The page works for everyone, but clicking an email opens Gmail. Members on other mail apps can search their inbox for the subject instead.
